Videoconferencing

You Can Trust goDEPO goViaVIDEO

Now (during the coronavirus shutdown) and always, goDEPO ’s experience and know-how ensure successful and secure videoconferencing for deposition, EUO, settlement, mediation, witness court appearance, medical review panel or whatever your meeting needs.

Courts all around the U.S. are encouraging the use of video conferencing for legal proceedings during the coronavirus social distancing directives. There are “free” and low-cost ways to videoconference that suffice for casual meetings, and hordes have recently flocked to them. But there is significant risk involved in using such systems for legal proceedings without extensive training and experience.

Perhaps you’ve been leery of trying videoconferencing. goDEPO goViaVIDEO offers assurances few others can:

  • EXTENSIVE EXPERIENCE AND KNOW-HOW
  • PERSONAL HANDLING OF ALL ARRANGEMENTS
  • PRIOR TEST CONNECTION AND PERSONAL TUTORIAL WITH EACH PARTICIPANT
  • LIVE MONITORING OF EACH VIDEOCONFERENCE RESULTING IN IMMEDIATE SUPPORT
  • APPLICATION OF MULTIPLE LAYERS OF SECURITY (WHICH PREVENT ZOOMBOMBING)

FREE LIVE TUTORIAL TEST-RUN: Call us to experience how it works.

EXPERIENCE MAKES A HUGE DIFFERENCE: You need your deposition to go smoothly. We have handled thousands of videoconferences in our 20+ years of providing high-end videoconferencing. We have used the majority of systems available including H.323 systems (Polycoms, LifeSize, Cisco, Sony, etc) and IP-based systems (Remote Counsel, Vidyo, Blue Jeans, Zoom and several systems used for telemed applications). Many court reporters and reporting firms have just recently jumped on the bandwagon in response in to COVID-19 with little to no experience. They are encountering issues we learned to handle years ago.

And keep in mind that the court reporter cannot take down the record, manage the videoconference and handle the electronic exhibits all at the same time. For best results, a videoconference technician must support the court reporter and all participants.

Videoconferencing may seem easy, but a lot can go wrong. When a witness or attorney has an issue with connecting to the videoconference or encounters bad or no audio, our monitoring technician immediately helps resolve the issues.

As I write this, a client-attorney for whom we provided videoconferencing and court reporter services today emailed me to say, “Sent email to managing partner how successful it was to conduct depos with you in this post covid world.”

YOUR FOCUS SHOULD BE ON THE DEPOSITION: We handle everything related to the videoconference meeting, so you can keep your focus on the deposition.

Besides the distractions that come with doing it yourself, there’s another good reason to hire an experienced provider such as goDEPO . Chad Lieberman, a Colorado attorney wrote, “I would always suggest using a court reporting firm or other videoconference provider, which should be properly equipped to handle the video [and audio] feed. The onus is therefore on the hired court reporting firm [to facilitate successful connections for all participants]. Otherwise, should you [make all the arrangements yourself and the connection is horrible or drops,] everyone looks at you.”

FLEXIBILITY = ONSITE OR REMOTE: Some of our reporters ARE willing during COVID-19 to meet with the witness in person to take the deposition, such as at our office conference room or a doctor’s office. Other reporters are prepared to take depositions remotely from their home offices. goDEPO remains operational during the coronavirus outbreak while taking all recommended steps to ensure the safety of our court reporters, employees and clients.

PROFESSIONAL SYSTEM: We’ve owned a 10-Host Zoom Business license since February 2018, not a free or entry-level license. In comparison to all the other systems we have worked with, Zoom has proven to be the most reliable system available today.

MULTI-LAYER AND LIVE MONITORING SECURITY: We combine password protection using complex passwords and locking of every meeting with our monitoring technician controlling participation via individual waiting rooms and break-out sessions for specifically assigned participants. Regarding Zoombombing: it’s not Zoom that is defective. It is a lack of experience that is the problem. It is important to have an experienced host who knows and applies the appropriate security settings, has full knowledge of how to get the best results with Zoom and who consciously monitors and controls the meeting.

MULTIPLE DEVICE OPTIONS: Ours is a cross-platform system, which means we can connect desktops, laptops, iPads, iPhones, other smartphones, tablets, landline telephones, cellular telephones and high-end H.323 systems (Polycom, Cisco, Sony, etc). If someone needs equipment, such as a laptop or webcam, we’ll ship it to them.

EXHIBIT SHARING: We will guide you in preparing and displaying documents and exhibits or provide our tech to display them for you. Our test/tutorial connection can include how witness or attorney can annotate an exhibit while it is discussed and shared in the videoconference for all participants to see.

OPTIONAL RECORDING OF THE WITNESS: Upon request, we can save a recording of the witness’ participation along with the exhibits displayed, in lieu of a separate videographer. We can even create a synchronized video-to-text file set from the videoconference recording. A synced video-to-text transcript can be a very powerful litigation tool. To learn more about synced transcripts, read the lower half of our videography webpage here.

OATH: Our court reporters are educated in the appropriate protocol for identifying the witness via the videoconference and the swearing of the witness or declaration under penalty of perjury.

HERE TO EMPOWER YOU TO CONTINUE WORKING: We would like to suggest that you need not cancel or forego taking depositions. goDEPO can arrange for any or all attorneys and/or witnesses to participate in depositions and other important legal proceedings remotely via professional video and/or teleconferencing.

With goDEPO goViaVIDEO , attorneys can participate from almost anywhere including home or office, alone or with others. A witness could meet with our reporter in one of our conference rooms around Louisiana or give his/her deposition from his/her home or office.

Here are some examples of videoconferences we have facilitated:

  • An exhibit-intensive deposition in which each of six participants, the reporter and our technician were all in different locations, wherein our technician displayed each party’s numerous exhibits instantly on request and saved each marked exhibit for the record
  • Four doctors testified in a Medical Review Panel in Louisiana, each from their offices or homes in different states.
  • A witness testified in court from her bed in a hospital
  • A 5-year-old girl testified in court from a private room in the courthouse
  • A 14-participant mediation with all connected at once, one participant admitted for the initial meeting then locked out thereafter, followed by the remaining participants being divided into three private, secure “breakout rooms,” and then back to the whole group.
  • Attorneys in Louisiana deposed a motorman on a deep sea drilling rig in the North Sea
  • An attorney conducted a focus group of which we streamed the video to his colleagues in separate offices in the building as well as to an expert in another state
